VETTING PROCEDURES

As part of your yearly CLRG Registration, you must verify that your “Vetting Reference Number” and “Vetting Completion Date” are accurate. If vetting is completed any time during the registration year, it is the registrant’s responsibility to access the registration portal and update their information accordingly.

Please note that many countries have an identity verification procedure built into their vetting application system.  To support applicant queries regarding these procedures, several ID verifiers (or Delegated Officers as referred to in Ireland), have been selected to work for CLRG.

If you have a query regarding the vetting process, please contact the member of the vetting team responsible for your region or country as shown in the sections listed below. We ask that you include the following information when you email to ensure all queries are dealt with in an efficient manner:

  1. Full Name
  2. Contact Phone Number
  3. Status within CLRG (TMRF, TCRG, ADCRG, BG, SDCRG, Teacher Assistant, Regional Council Layperson, etc.)

 

Before contacting your designated vetting officer, we would like to draw your attention to the following points related to the subject of Child Protection:

 

  • Regarding all approved Child Protection Training Certificates, where attendance has been within the previous 5 years, these are deemed to be current for the period of 5 years from that date.
  • The primary managers of Child Protection Training certificates are the Regional Designated Liaison Persons which are listed below for your convenience.

REPUBLIC OF IRELAND

Garda Vetting Liaison for ROI: Eileen Fagan Gargan BG – clrgvettingirl@gmail.com

The vetting of all those residents and working within the Republic of Ireland, and registered or formally associated with An Coimisiun le Rinci Gaelacha, will be carried out in conjunction with the National Vetting Bureau [Children and Vulnerable Persons] Act 2012 – 2016, by way of submission to the Garda Siochána National Vetting Bureau.  

Please note: All teachers registered with CLRG in the Ulster Region, except the 6 counties (UK), are included in this procedure.

Key Information For Successful Applications: 

  • An original NVB1 form must be completed in full, using BLOCK CAPITALS and writing must be clear and legible.
  • The Form should be completed in ballpoint pen. Please ensure that the box is ticked in section two.
  • It is permissible to scan documents you intend using as support for the verification of your identity, and these should be sent to the [Garda] Vetting Liaison Person, [VLP] for the country details to follow below.
  • Once the Identification process has been carried out, ensure that all vetting documentation supporting an application to the Garda National Vetting Bureau, is sent to the GVLP for the Republic of Ireland.
  • At present, no CLRG administration fee is being charged for registered members. There is a €20 charge for teachers’ assistants.

NORTHERN IRELAND (6 COUNTIES)

Vetting for teachers residing within Northern Ireland (6 counties only), will be carried out by application to the governmental authority, Access NI. 

 

It is currently possible to verify your vetting documents used in the ID process via email; however, all documents bearing your original signature must be sent to the Vetting Liaison Person, by post (see address above).

Scotland Vetting Officer: Margaret McGrath (TMRF) – mcgrath4755@aol.com 

Vetting for teachers resident in Scotland will be carried out by application to Disclosure Scotland [Protecting Vulnerable Groups] the Scottish Governmental authority for this process.The application forms may be acquired through contact with the Scottish Vetting Liaison Person, who will deal with the complete process, on a one-to-one basis with the applicant.

England & Wales Vetting Officer:  Lennie Connell – vetting.gb@clrg.ie

Vetting for teachers resident within England and Wales will be carried out by application to the Disclosure & Barring Service [DBS]. You are encouraged to read the full DBS Procedural Guidelines**;  however, a short form of the initial procedures is included below:  

  • The subject heading should be: DBS INVITATION TO APPLY FOR VETTING.
  • Give your FULL forename and surname as shown on formal personal documentation, such as your passport or driving license. Please note: If you only use a particular surname or forename in dancing circles, this will not be accepted when the full checking is carried out by the Service.
  • Give your full email address, to be used for the application.
  • Give your full postal address and postcode.
  • Give your preferred contact telephone number
  • You will receive an email back outlining the application process and receive guidelines for the Identification Verification Process, and details to access the application system. Please note: this access is not to CLRG, but the Umbrella Agents’ online system into the Disclosure & Barring Service.
  • If you have a query or make an error, send an email to the vetting.gb@clrg.ie email address.
  • When submitting your DBS vetting application to the online system, you will be able to pay the fee online as part of the application process.

NORTH AMERICA

Vetting Liaison Person for the United States & Mexico:  Anne Hall (ADCRG) vetting.groupB@clrg.ie

Vetting for teachers resident within the United States of America & Mexico will be carried out by application to Asurint Inc. CLRG has a formal Agreement with this agency to facilitate teacher background screening via their online application system.

It is important to note that applications should be made only to Asurint Inc. Any screening reports received from any other company or organisation will be rejected.

Applicants can gain access to the Asurint application system by contacting the appropriate Vetting Liaison Person for the applicant’s home Region. This officer will support the applicant through the entire process on a one-to-one basis.

CANADA

Eastern Region Vetting Officer: Rose Johnson (TCRG) – vetting.canadaE@clrg.ie

Western Region Vetting Officer: Merv Bell (TCRG) – vetting.canadaW@clrg.ie

Vetting for teachers resident in Canada will be carried out by application to the Royal Canadian Mounted Police [RCMP] managed Vulnerable Sector Check programme. The checks will be carried out by local police forces, under this umbrella.

The Canadian Vetting Liaison Officers are responsible for giving access to the VSC application system. The appropriate Vetting Officer (based on the applicant’s home region), will support the applicant on a one-to-one basis through the entire process.
